Password Boss Privacy Policy
Thanks for using Password Boss! We built Password Boss to provide a secure way to remember your passwords and store your important digital notes. This Privacy Policy explains more specifically what information PasswordBoss LLC and its Group Companies (together, “PasswordBoss,” “Password Boss,” “we” or “us”) collect from Account Holders and End Users (“you”). Here we describe how we collect, use, and handle your personal information when you use our websites, software, and services (“Services”).
Please note, if you use Password Boss Premium, Trial or Free, you are both the Account Holder and End User of a Password Boss Services account. If you use Password Boss Business or Password Boss Business Free, the Account Holder is the Customer who has contracted with Password Boss as defined in our Password Boss Business Agreement and the End Users are the individuals whose user accounts are linked to that Password Boss Business account.
What information does Password Boss collect?
We collect and use the following information to provide, improve, and protect our Services:
Account information. We collect, and associate with your account, the information you provide to us when you do things such as sign up for your account, upgrade to a paid plan, and set up two-factor authentication (like your name, email address, phone number, payment info, and physical address).
Your Data. Our Services are designed to make it simple for you to store your passwords, notes, personal information, credit cards, and so on (“Your Data”), share Your Data with others, and work across multiple devices. To make that possible, we store, process, and transmit Your Data as well as information related to it. This related information includes your email address and profile picture that makes it easier to share Your Data with others, people you have shared items with, the time it was uploaded, URLs for websites you have saved, and usage activity. Our Services provide you with different options for sharing Your Data.
Usage information. We collect information related to how you use the Services, for example, the act of creating a password or a note, sharing a password or note, or using the Services to login to websites. We use this information to improve our Services, develop new services and features, and protect Password Boss users.
Location information. We collect the IP address you use to connect to the Services.
Device information. We collect information about the number and type of devices you use to connect to the Services. This includes things like IP addresses, the type of browser and device you use, the web page you visited before coming to our sites, and identifiers associated with your devices.
Cookies and other technologies. We use technologies like cookies and pixel tags to provide, improve, protect, and promote our Services. For example, cookies help us with things like remembering your username for your next visit, understanding how you are interacting with our Services, and improving them based on that information. You can set your browser to not accept cookies, but this may limit your ability to use the Services. You can find our Cookie Policy here.
Marketing. We give users the option to use some of our Services free of charge. These free Services are made possible by the fact that some users upgrade to one of our paid Services. If you register for our free Services, we will, from time to time, send you information about upgrades when permissible. Users who receive these marketing materials can opt out at any time. If you do not want to receive marketing materials from us, simply click the ‘unsubscribe’ link in any email, or update your preferences in the Notifications section of your personal account.
We sometimes contact people who do not have a Password Boss account. For recipients in the EU, we or a third party will obtain consent before contacting you. If you receive an email and no longer wish to be contacted by Password Boss, you can unsubscribe and remove yourself from our contact list via the message itself.
How does Password Boss share or disclose my information?
Password Boss will not sell your information to third parties. Here are instances when we may disclose your information — and then only the minimum information necessary:
Others working for Password Boss. We share your information with Service Providers who process data on our behalf, such as credit card processors and customer management systems. For example, these Service Providers help us:
- Operate, develop, and improve the features and functionality of the Services
- Complete your payment transactions
- Fulfill your sales and support requests
- Communicate with you as described elsewhere in this policy
These third parties will only access your information to perform tasks on our behalf in compliance with this Privacy Policy, and we’ll remain responsible for their handling of your information in accordance with our instructions. We require these providers to agree to strict data protection requirements in keeping with our privacy policy standards and the the European Union’s General Data Protection Regulation (“GDPR”). We do not share your information with any third parties for their own advertising purposes.
Other users. Our Services display information such as your name, profile picture and email address to other users in places like your user profile and sharing notifications. When you register your Password Boss account with an email address on a domain owned by your employer or organisation, we may help collaborators find you and your team by making some of your basic information – such as your name, team name, profile picture and email address – visible to other users on the same subscription. This helps helps other users share passwords and notes with you. Certain features let you make additional information available to others.
Password Boss team admins. If you are a user of a Password Boss team (e.g. Password Boss Business plans or Password Boss Family), your administrator may have the ability to access and control your Password Boss team account. Please refer to your organisation’s internal policies if you have questions about this. If you are not a Password Boss team user but interact with a Password Boss team user (by, for example, joining a shared folder or accessing items shared by that user), members of that organisation may be able to view the name, email address, profile picture and IP address that was associated with your account at the time of that interaction.
Business changes. In the event of a merger, sale, or reorganization of all or part of our business, information covered by this policy may be transferred in connection with that deal.
Legal requests. We may disclose your information to third parties if we determine that such disclosure is reasonably necessary to (a) comply with the law; (b) protect any person from death or serious bodily injury; (c) prevent fraud or abuse of Password Boss or our users; or (d) protect Password Boss’s property rights. Password Boss does not have any access to the passwords or notes you have saved in your account. The only access to this data is with your master password, which Password Boss does not store.
How can I manage my information stored in Password Boss?
We respect your right to access, correct, request deletion or request restriction of our usage of your personal information as required by applicable law. We also take steps to ensure that the personal information we collect is accurate and up to date.
- You have the right to know what personal information we maintain about you.
- We will provide you with a copy of your personal information in a structured, commonly used and machine readable format on request.
- If your personal information is incorrect or incomplete, you have the right to ask us to update it.
- You have the right to object to our processing of your personal information.
- You can also ask us to delete or restrict how we use your personal information, but this right is determined by applicable law and may impact your access to some of our Services.
You can manage your information simply by logging into your account and editing your information directly within the Services. However, if you prefer, you can contact us at privacy@passwordboss.com to ask us to correct, update, or delete your personal information. Please note that we may ask you for proof of account ownership and/or identity before fulfilling your request.
We will honor any statutory right you might have to access, modify or erase your personal information. To request access please contact us following the instructions in the Contact Us section below. Where you have a statutory right to request access or request the modification or erasure of your personal information, we can still withhold that access or decline to modify or erase your personal information in some cases in accordance with applicable national laws.
If you request that we stop processing some or all of your personal information, or you withdraw (where applicable), your consent for our use or disclosure of your personal information for purposes set out in this privacy notice, we might not be able to provide you all of the Services and customer support offered to our users and authorized under this privacy notice and our Terms of Use.
Upon your request, we will close your account and remove your personal information from view as soon as reasonably possible, based on your account activity and in accordance with applicable national laws.
What happens if you stop using Password Boss?
You can delete Your Data at any time, and you can stop using the Services at any time. Your Data is portable. You can export your passwords and notes at any time, as explained here.
If you delete Your Data and then sync, it will no longer be accessible to you or others who may access the Services. The backup system we use to provide the Services may retain residual copies of Your Data for up to one year due to the nature of those systems’ operations.
Password Boss provides you with features that allow you to share Your Data with other users. Please note that deleting your copy of Your Data does not necessarily delete copies existing in the accounts of people you shared the data with, as explained here and here.
What happens if Password Boss closes my account? If Password Boss deactivates your account due to a TOS violation, then you may contact us to request deletion of your Content, and we will evaluate such requests on a case by case basis, pursuant to our legal obligations
Where does Password Boss store my information?
To provide you with the Services, we may store, process and transmit information in the United States and locations around the world – including outside your country. Information may also be stored locally on the devices you use to access the Services. If you are using a paid or trial version of Password Boss Premium, Password Boss Family or Password Boss Business, you may choose where encrypted copies of your passwords and notes data is stored. Learn more here. If you use Password Boss Business your account administrator may have chosen the location for your backups for you.
Data privacy laws or regulations in your home country may differ from those in the United States. We will collect, store, and use your personal information in accordance with this Privacy Policy and applicable laws, wherever it is processed.
How long does Password Boss keep my personal information?
We’ll retain information you store on our Services for as long as we need it to provide you with the Services. If you delete your account, we’ll also delete this information. But please note: (1) there might be some latency in deleting this information from our servers and backup storage; and (2) we may retain this information if necessary to comply with our legal obligations, resolve disputes or enforce our agreements. Who is my data controller?
PasswordBoss, LLC, is your data controller, and is responsible for the collection, use, disclosure, retention and protection of your personal information in accordance with our global privacy standards, this privacy notice, as well as any applicable national laws.
Changes
We may revise this Privacy Policy from time to time, and will post the most current version on our website. If a revision meaningfully reduces your rights, we will notify you.
